Information Notice on the Protection and Processing of Personal Data

Within the scope of Eurasia Water Expo – Avrasya Su Fuarı / 3rd Eurasia Water Expo, the security and confidentiality of your personal data are important to us. This Information Notice has been prepared pursuant to the Law No. 6698 on the Protection of Personal Data (the “KVKK”) to inform fair visitors, exhibiting companies, speakers, sponsors, suppliers, members of the press, invitees and other data subjects associated with the fair about the purposes for which their personal data are processed, the parties with whom such data may be shared, the methods by which such data are collected, and their rights.

2. Scope

This Information Notice applies to personal data processed within the scope of the 3rd Eurasia Water Expo, which will be held at WOW Istanbul Hotel & Convention Center on 4–5 November 2026, as well as the concurrent events, forums and conferences, registration processes, visitor admissions, exhibiting-company procedures, digital application forms, communications, promotional activities and fairground operations.

3. Personal Data Processed

The following categories of personal data may be processed in the course of conducting the expo activities:

  • Contact Information: Telephone number, e-mail address, and business address
  • Professional Information: Company name, sector, position, department, and field of activity
  • Visitor/Participant Transaction Information: Registration-form details, invitation details, badge details, entry and exit records, and session/conference attendance information
  • Company and Contract Information: Exhibiting-company details, stand details, sponsorship details, and information relating to invoicing and payment processes
  • Visual and Audio Records: Photographs, videos, interviews, and event footage recorded at the fairground
  • Request and Communication Records: Information requests, application forms, e-mail correspondence, call records, and other communication records
  • Transaction Security Information: IP address, website usage records, form-submission dates, and system logs
  • Marketing Communication Preferences: Newsletter subscription, event-announcement preference, and commercial electronic communication consent status

As a rule, special categories of personal data are not processed. However, in cases such as notifications concerning accessibility, health, safety or special requirements, such data may be processed on a limited basis only where necessary and where an appropriate legal ground exists under the applicable legislation.

4. Purposes of Processing Personal Data

Your personal data may be processed for the following purposes:

  • Receiving registrations for fair visitors, participants, speakers, sponsors and invitees,
  • Conducting fair entry and exit, badge, accreditation and security processes,
  • Planning exhibiting-company, stand, sponsorship and organisation processes,
  • Organising conferences, forums, sessions, panels and concurrent events,
  • Managing visitor and participant relations,
  • Providing fair programmes, announcements, information notices and operational communications,
  • Conducting contract, invoicing, payment, accounting and finance processes,
  • Ensuring fairground security, occupational health and safety processes, and operational order,
  • Responding to requests, suggestions, complaints and information applications,
  • Preparing post-fair reports, statistics, satisfaction analyses and sector assessments,
  • Conducting corporate communications, press, promotional, social media, website and archival activities,
  • Fulfilling legal obligations and providing information to authorised public institutions,
  • Where you have provided explicit consent, sending you content concerning future fairs, forums, sector events, promotions and announcements.

5. Methods of Collecting Personal Data

Your personal data may be collected verbally, in writing or electronically through the following channels:

  • Visitor registration desks,
  • Exhibiting-company application forms,
  • E-mail, telephone, WhatsApp and other communication channels,
  • Contracts, quotations, invoices and payment documents,
  • Badge, QR code, invitation and accreditation systems,
  • Camera recordings, photography and video recordings at the fairground,
  • Conference, panel and forum attendance records,
  • Social media, press and promotional activities,
  • Event management service providers, business partners and suppliers.

6. Legal Grounds

Your personal data may be processed on the following legal grounds under the relevant provisions of the KVKK:

  • Processing is necessary for the establishment or performance of a contract,
  • Processing is necessary for the data controller to fulfil its legal obligations,
  • Processing is necessary for the establishment, exercise or protection of a right,
  • Processing is necessary for the legitimate interests of the data controller, provided that the fundamental rights and freedoms of the data subject are not adversely affected,
  • Processing is expressly provided for by law,
  • You have provided explicit consent.

Separate explicit consent or other approvals required under the applicable legislation may be obtained for commercial electronic communications, marketing communications, certain uses of visual materials and the processing of special categories of personal data.

7. Parties to Whom Personal Data May Be Transferred

Your personal data may be shared, solely to the extent required for the purposes of processing, with the following persons, institutions and organisations:

  • The fair organiser,
  • The event management service provider,
  • The fairground operator,
  • Registration, accreditation, badge, software, hosting and technical infrastructure service providers,
  • Security, cleaning, logistics, design, printing, stage, technical equipment and operational suppliers,
  • Parties providing accounting, certified public accountancy, legal and consultancy services,
  • Sponsors, exhibiting companies and business partners,
  • Press, media, photography and video-production teams,
  • Authorised public institutions and organisations,
  • Private persons or organisations authorised by law.

Visitor information is shared with exhibiting companies or sponsors only to the extent necessary for the purposes of the event or with due regard to the preferences and consents of the relevant data subject.

8. Photography and Video Recording

Photographs and videos may be recorded at the fairground, conferences, panels, forums, stand areas and social events. Such images and recordings may be used for fair promotion, press announcements, the website, social media, catalogues, archives, sponsorship reports and corporate communication activities.

Visitors and participants entering the fairground are deemed to have been informed that photography and video recording may take place in general areas. Separate permission or explicit consent may be obtained where an individual is clearly the principal subject of an interview, dedicated shoot, portrait or promotional use.

9. Retention Period for Personal Data

Your personal data are retained for the period necessary for the purposes of processing and for the statutory retention periods prescribed by the applicable legislation. When the retention period expires or the purpose of processing ceases to exist, your personal data are deleted, destroyed or anonymised.

Data relating to commercial electronic communications and marketing communications may be processed for as long as your consent remains valid or until you withdraw it. Data relating to legal disputes, audits, accounting, contracts and invoicing may be retained for the periods prescribed by the applicable legislation.

10. Transfer Abroad

As a rule, your personal data are processed within Türkiye. However, where software, e-mail, cloud storage, website hosting, registration systems or technical infrastructure services are provided through servers located abroad, your personal data may be transferred abroad in accordance with the conditions stipulated under the KVKK.

In such cases, the transfer is carried out by implementing security measures compliant with the applicable legislation and, where required, by obtaining your explicit consent.

11. Your Rights as a Data Subject

By applying to the data controller pursuant to Article 11 of the KVKK, you have the right to:

  • Learn whether your personal data are being processed,
  • Request information if your personal data have been processed,
  • Learn the purpose of processing and whether your personal data are used in accordance with that purpose,
  • Know the third parties to whom your personal data have been transferred within Türkiye or abroad,
  • Request the rectification of personal data that have been processed incompletely or inaccurately,
  • Request the deletion or destruction of your personal data under the conditions prescribed by the applicable legislation,
  • Request that rectification, deletion or destruction operations be notified to third parties to whom your personal data have been transferred,
  • Object to any outcome arising against you as a result of the analysis of your personal data exclusively by automated systems,
  • Claim compensation for damages incurred as a result of the unlawful processing of your personal data.

The rights of data subjects under Article 11 of the KVKK are also separately explained by the Personal Data Protection Authority.
